Use one file per property, or prefix room numbers (A-101, B-101).

Is the deposit counted as rent?

No. Deposits are tracked separately.

How do I get the files after payment?

Can I use it on my phone?

Yes. It works with Microsoft Excel, Google Sheets, WPS Office. Free mobile apps are enough.
