How to Manage Visitor and Material Gate Passes
The gate is where a lot of small losses happen: material leaves without approval, returnable items never come back, and nobody knows who's on the premises in an emergency.
Visitor entry
For every visitor, record:
- Date, time in and time out
- Name, company and mobile
- Whom they're meeting and why
- Vehicle number and items carried (laptops, tools, samples)
- Whether ID was checked
At the end of the day, anyone without a time out should be checked. In a fire drill or emergency, the "inside now" list tells you who to account for.
Gate passes for material
No material should leave without a gate pass signed by an authorised person. Two types:
- Non-returnable: sales despatches (with invoice or delivery challan), scrap sales, returns to suppliers
- Returnable: items going out for repair, calibration, demo or to a site, which must come back
Each pass should show material, quantity, party, vehicle and expected return date. Security checks the quantity against the pass before letting the vehicle out.
Track returnables until they come back
Returnable items are where most losses occur. A spindle sent for repair, a demo gauge, a laptop with a vendor: each needs an expected return date. Every week, review items past their date and follow up with the party.
Simple daily routine
1. Morning: security opens the day's register
2. During the day: every visitor and material movement logged at the gate
3. Evening: check visitors still inside; stores checks returnables due today
4. Weekly: admin reviews overdue returnables and unusual movements
Approvals
Keep a short list of who can approve gate passes and up to what value. Share it with security, and update it when people change roles.
Privacy
Visitor phone numbers and ID details are personal data. Keep the register with security and admin, and don't share it beyond what's needed.
Our Visitor, Gate Pass & Material Movement Register replaces paper books with a searchable log, shows who's inside now, and flags returnable material that hasn't come back.
