Daily Cash Closing: Stop Cash Shortage in Your Shop
Many shop owners discover a cash shortage only at month end, when it is impossible to trace. A two-minute closing every night fixes that, because the difference is found while everyone still remembers the day.
The closing formula
Expected cash = opening cash + cash sales − cash paid out − cash deposited in the bank
Then count the drawer. Counted cash − expected cash is your shortage (negative) or excess (positive).
UPI, card and credit sales do not change the drawer. UPI and card money goes to the bank; credit sales are money customers owe you.
A nightly routine
1. Print or read the day's sales by mode from your billing machine or app: cash, UPI, card, credit.
2. Note every cash payment made from the drawer: milk, vegetables, courier, tea, small repairs.
3. Note any cash taken to the bank.
4. Count the drawer note by note, with someone watching if possible.
5. Write the counted cash. Tomorrow's opening cash is tonight's counted cash.
Why cash goes short
- Cash expenses not written down. The most common reason by far.
- UPI payments rung up as cash on the billing machine.
- Wrong change, especially in rush hours.
- Refunds and cancellations done in cash without a note.
- Owner taking cash for personal use without recording it.
What to do when there is a shortage
Check the expense slips first, then the billing report for cash and UPI mix-ups, then any refunds. Write down what you find, even if the answer is "not found". A pattern over several days, for example shortages only on one staff member's shift, tells you where to look.
Small habits that help
- Keep a fixed float (say ₹2,000) for change and count it separately.
- Pay expenses only with a slip in the drawer.
- Deposit surplus cash every two or three days.
- Keep the closing record for at least a year.
